Visa Support Officer

Description

SPUN is seeking a Visa Support Officer specializing in Asia and Europe visa applications. This role will manage end-to-end visa processes for clients traveling to or from these regions, ensuring smooth coordination with embassies, consulates, visa centers, and relevant authorities. The ideal candidate is detail-oriented, resourceful, and knowledgeable in multi-country visa requirements.

Working Conditions

  • Location: South Jakarta (Hybrid WFH + WFO)

Key Responsibilities:

  • Handle visa applications for Asia & European destinations, ensuring documents meet each country’s embassy/visa center requirements.

  • Manage the complete process: receiving client documents, checking completeness, form-filling, submission, and follow-up.

  • Schedule visa appointments (VFS, TLS, BLS, or other centers) and provide clients with clear instructions.

  • Provide regular updates on application status and support clients throughout the process until decision (approved/rejected).

  • Conduct research on visa requirements, embassy regulations, and policy changes across Asia and Europe.

  • Assist with add-on services to support visa applications (travel itineraries, hotel/flight bookings, travel insurance, etc.).

  • Act as on-the-ground support at embassies/visa centers when needed.

  • Collaborate with internal teams and external partners to streamline workflows and ensure accuracy.

Requirements:

  • 1–2 years of experience in visa/immigration handling, preferably with exposure to Asia and/or European visa processes.

  • Strong understanding of embassy procedures, documentation standards, and appointment systems (VFS, TLS, BLS, etc.).

  • Familiarity with Schengen visa requirements and common Asian destinations is a strong plus.

  • Bachelor's degree or equivalent in Language Studies, International Relations, Business Administration or Hospitality and Travel Studies preferred.

  • High attention to detail, strong organizational skills, and ability to multitask under time pressure.

  • Excellent communication skills in English (written & spoken); additional Asian/European languages are a plus.

  • Proficiency in Microsoft Office / Google Workspace and digital administrative tools.

  • Ability to work independently as well as collaborate within a team.
